Complete one controlled change

Create one shared job path

Welcome to PITCH Owner 03. Your workflow turns the way your company actually operates into one shared job path. In this lesson, you will separate phases from statuses, arrange the path in the right order, protect jobs already using it, and verify the result before the team relies on it.

Name phases, statuses, and colors

Open Settings, then Job Workflow. A phase is a broad operating step, such as Sales or Production. A status is the more specific condition inside that phase, such as Appointment Set or In Progress. The phase color appears across job lists, trackers, dashboards, and the Workflow Board. Start by mapping the real handoffs your team already follows.

Make one controlled change

Review each phase from top to bottom. Rename phases and statuses only when the wording will be understood by every role. Separate statuses with commas or new lines. Every phase needs a name and at least one status, and the same status cannot belong to two phases. Use the arrows to change order, and add a new phase only for a real operating handoff.

Protect jobs already using the workflow

Existing jobs determine what is safe to remove or reset. PITCH blocks deleting the final phase. It also blocks removing a phase while jobs use any of its statuses. Move those jobs first. Lost and Cancelled remain reserved closed states outside the active phases. Restoring defaults is blocked when a job still uses a custom status, protecting active records from being stranded.

Verify the board and job tracker

Before live use, open the Workflow Board and one training job. Confirm the phase order, colors, and job tracker. Move the training job through representative statuses and verify the expected handoffs. Pay special attention when entering production, because readiness checks may require complete customer information, a signed agreement, an accepted estimate, any required deposit, the end of a cancellation period, and a project manager.

Complete one controlled change

Now complete the guided practice in a non-production workspace. Map the current process. Review every phase, status, color, and order. Make one approved change. Test it with a practice job on the board and job tracker. Resolve any job-usage warning before removing or resetting anything. The workflow is ready when the team can describe the same path and the sample job moves through it without losing context.
